Terms, privacy, and how we use AI
Five notices in one place: what governs your use of this site, what we do with the information you send us, which cookies are involved, the limits of what is published here, and how AI is used in our own work.
Terms of Use
These Terms of Use govern your use of biruniappliedai.com (the “Site”), operated by Biruni Applied AI Inc. (“Biruni Applied AI”, “we”, “us”, “our”). By using the Site you agree to be bound by them. If you do not agree, please do not use the Site.
1. What we do
Biruni Applied AI is an applied AI consultancy. Our engagements are: Individual AI Workshops, Corporate AI Training & Bootcamps, AI Readiness Audits, AI Strategy & Roadmapping, Workflow Automation, and Custom AI Agent Development. Work is delivered by the principal together with a vetted specialist network; all specialists work under Biruni Applied AI’s contract, NDA and insurance, so the client has one counterparty.
2. The Site is not an engagement
Nothing on the Site is an offer, a quote, or a commitment to perform work. Timelines, prices and scope shown here are indicative. Paid work is governed solely by a signed statement of work or services agreement, which takes precedence over these Terms in the event of conflict.
3. Eligibility
The Site is intended for business use by individuals aged 18 or older.
4. Acceptable use
You agree not to:
- use the Site for unlawful or unauthorised purposes
- interfere with, probe, or disrupt the Site or its infrastructure
- submit forms automatically, or use the contact form or booking link to send unsolicited commercial messages
- misrepresent your identity or affiliation
- scrape or reproduce Site content for republication or model training without written permission
5. Intellectual property
All content on the Site — text, articles, graphics, branding, frameworks and documentation — belongs to Biruni Applied AI. You may quote briefly with attribution and a link. You may not reproduce or redistribute substantial portions without written permission.
Client deliverables are treated differently. Code, prompts, evaluation suites and documentation produced during an engagement are delivered into the client’s repositories and cloud accounts and are owned by the client. We retain no licence and charge no ongoing platform fee. We reserve the right to reuse our own general methods, templates and know-how.
6. Third-party links and services
The Site links to third-party sites and services, including our scheduling and form providers. We are not responsible for their content, availability, or privacy practices.
7. Limitation of liability
To the maximum extent permitted by law, the Site is provided without warranty and we are not liable for indirect, incidental, special or consequential damages, or for lost profits or lost data, arising from your use of the Site. Our total aggregate liability arising from the Site is limited to the lesser of CAD $1,000 or the fees you paid us for services in the six months preceding the claim. Liability for engagements is governed by the applicable statement of work.
8. Dispute resolution
In the event of a dispute, both parties agree to attempt resolution through informal negotiation for 30 days. If unresolved, the dispute will proceed to binding arbitration in Toronto, Ontario, conducted in English before a single mutually agreed arbitrator.
9. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in it.
10. Changes
We may update these Terms from time to time. Continued use of the Site after an update constitutes acceptance of the revised Terms.
Privacy Policy
Biruni Applied AI Inc. is committed to protecting the privacy of visitors to biruniappliedai.com and of the clients we work with. This policy explains what we collect, why, who processes it, and what you can ask us to do about it.
1. What we collect
- Contact form. Your name, email address, company, the service you are enquiring about, and whatever you write in the message field.
- Discovery call booking. When you book through our scheduling provider, that provider collects your name, email, chosen time, and any details you enter.
- Technical data. Our host records standard server logs, including IP address, browser type, and pages requested, for security and reliability.
We do not run advertising trackers, and we do not operate a newsletter list or a quiz.
2. How we use it
- to respond to your enquiry and arrange a conversation
- to prepare a proposal or statement of work
- to keep records required for tax, accounting and insurance purposes
- to keep the Site secure and working
We do not sell or rent personal information, and we do not use it to train AI models.
3. Who processes it on our behalf
We use a small number of service providers, each handling only what is needed to deliver the function:
- Formspree — receives and forwards contact form submissions.
- Calendly — handles discovery call scheduling.
- Netlify — hosts the Site and records server logs.
- Google Fonts — serves the typefaces used on the Site.
Some of these providers are located in the United States, so information submitted through the Site may be stored or processed outside Canada and may be accessible to foreign authorities under the laws of those jurisdictions.
4. Client and engagement information
Information you share during an engagement is confidential and handled under the terms of the applicable agreement and NDA. Specialists working on an engagement are bound by the same confidentiality obligations. We do not enter personal, confidential or sensitive client data into third-party AI tools except as described in the AI Transparency Notice below.
5. Retention
- Enquiries that do not lead to an engagement are kept for up to 24 months and then deleted.
- Engagement records, contracts and invoices are kept for seven years, as required for tax and professional purposes.
- Working materials containing client data are deleted or returned at the end of an engagement on request.
6. Security
Form submissions are transmitted over encrypted connections and stored with our providers under their security controls. Access is limited to the principal and to specialists assigned to the engagement. No system is completely secure, and we ask that you not send sensitive personal information through the contact form.
7. Your rights
Under Canadian privacy law, including PIPEDA, you may request access to the personal information we hold about you, ask us to correct it, withdraw consent to further contact, or request deletion, subject to legal and contractual limits. Email hello@biruniappliedai.com and we will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
8. Changes
We may update this policy as our services and providers change. The effective date above reflects the most recent revision.

Figures cited on this Site — including cost removed, engagement counts, and time to production — describe outcomes from past engagements under their own conditions. They are not a forecast or a guarantee of results in any other organisation. Every engagement depends on the client’s data, systems, staffing and decisions.
A fast-moving field
AI capabilities, tooling, pricing and regulation change quickly. Articles and frameworks published here reflect our understanding at the time of writing and may be superseded. We are not obliged to update published material.
Errors and omissions
The Site may contain typographical errors or inaccuracies. We reserve the right to correct, change or remove content at any time without notice.
Views, testimonials and external links
Opinions published here are those of their authors. Testimonials, where shown, are genuine accounts from clients, may be edited for length and clarity without changing their substance, and are not paid for; individual results vary. Links to third-party sites are provided for convenience and do not imply endorsement.
No warranties
The Site and its content are provided “as is”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Site is uninterrupted or free of harmful components.
AI Transparency Notice
We advise clients on using AI responsibly. The same standard applies to how we run our own work. This notice sets out, in plain language, where AI is used at Biruni Applied AI, how human oversight is maintained, and how client information is handled.
1. How we use AI
We may use AI tools to support:
- drafting and refining materials, internal documents and written analysis
- research support, synthesis and idea development
- workflow design, prototyping and implementation planning
- building AI-enabled tools, automations, agents and dashboards as part of client projects
- internal process support such as organising information
2. Human review
Every AI-assisted output is reviewed, edited and validated by a person before it is shared, recommended or deployed. We do not use AI to make decisions about people on a client’s behalf. Final judgement, recommendations and delivery stay under human oversight, and accountability for AI use on an engagement sits with the principal leading it.
3. Client data in AI tools
We do not enter personal, confidential or sensitive client data into third-party AI tools unless the client has given explicit consent and the use fits the engagement’s privacy and governance expectations. Where a project requires it, we use enterprise or client-controlled environments with training on customer data disabled. As a general rule, we do not submit identifiable client or prospect information to AI tools for convenience.
4. AI in what we build
Where an engagement produces an AI-enabled system, part of our job is making sure the client understands its intended use, the appropriate level of human oversight, the practical risks — inaccuracy, over-reliance, privacy exposure, unclear accountability — and whether the approach fits their operating and regulatory context. Systems we build ship with evaluation suites and documentation so the client can measure and monitor them after handover.
5. Practical risk review
For relevant projects we review AI use in the context of the engagement: whether human review belongs in the workflow, whether outputs could be misleading or incomplete, whether the approach fits the client’s regulatory environment, and whether additional documentation or limits should apply before implementation. This is practical review, not legal advice; clients should consult qualified legal or compliance professionals where needed.
6. Specialists
Specialists and subcontractors working on an engagement are held to the same confidentiality, privacy and responsible AI standards described here.
7. Continuous review
We revise this notice as our tools and practices change, and we track regulatory developments in Canada and relevant international AI governance frameworks. Questions about how AI is used in our work are welcome at hello@biruniappliedai.com.
